Q: How can I, as an entity admin, add and/or remove user permissions?


Add User Permissions

Firstly, the person receiving the admin permissions must have an account in Rugby Xplorer with an unique email address (i.e. email appears in black in User Management search).

  1. Administration > User Management
  2. Search for individual by ID, email or name
  3. Click on person’s account
  4. Select permission from dropdown list, i.e., ‘Club Admin’ or ‘Team Admin’
  5. Click “Add Role”
  6. Select Club and/or Team from dropdown
  7. Click “Save Changes” 
  8. The user will receive an email letting them know they have been assigned permissions and they are able to log in.

User Permissions Available:

  • National Admin: top level admin who has full access to the national's age levels, competition types, registration roles, registration types and payment settings. Full acess of all competitions and can create new entities. 
  • [Entity] Admin: all nationals have different entity admins, for example association, provincial union, geographical union and/or syro admin. These admins have full access to Rugby Xplorer navigations including reports, payment settings, competition management and entities. 
  • Rugby Event Admin/Association Admin: can setup and manage rugby events.
  • Competition Admin: can manage a specific competition (competition, draws, ladders, competition cases and send off reports), with restricted access to competition management reports. Can only access teams that have been allocated into your competition. 
  • Scoring Admin: grants access to all teams within a competition, allows them to use the Rugby Match Day app to select team lists, view member cards, and live score matches for every team in the competition. 
  • Club Admin: access to administration, payment settings and can manage their own members, teams and squads. 
  • Team Admin: required for use of the Rugby Match Day app. The Team Admin can select the team list, view member cards and live score matches. 
  • Referee Club Admin: access to the same information as a club admin with the addition of 'Referees' navigation to manage appointment boards and referee payments. 
  • Referee Appointment Board Admin: ability to appoint referees to matches and manage the referee's availability, grading, season coach and stream. This can only be granted by referee club admins.
  • Referee Coach Admin: referee coaches assigned as the season coach and/or appointed as a referee coach who can view and submit Referee Review Reports. 

Note

  • Once an individual has been granted user permissions, they will see the "Admin Portal" button in their Rugby Xplorer Portal (you may need to log out and log back in for the changes to take effect). Important to note, the Admin Portal is only available via a desktop or laptop. 
  • When an email address appears in red in user management, this user is a linked account in Rugby Xplorer and cannot be assigned admin permissions. There are two options available for the club:
    1. The admin permissions can be assigned to the primary account holder. 
    2. The user adds a unique email address to their profile and sets a password. The Admin can then assign that email address the admin permissions.
  • Only Referee Club admins can assign 'appointment board admin' and 'referee coach admin' user permissions.
  • Rugby Event teams will display 'team name (rugby event name)' to ensure team admins are assigned for the correct team in the correct rugby event. 
  • If the user also exists as a member in your entity, you can click the "Member Management" button to see their member record. 
  • The Admin User Report (Administration > Reports > Admin User Report) will also detail all admins at your entity. 

Remove User Permissions

There are two ways to remove user permissions.


Option 1: My Entity

  1. Administration > My Entity
  2. Click "Admins" tab
  3. Click on Admin you wish to remove, you will be redirect to the User Management page
  4. Click "X" to remove user permissions
  5. Confirm removal of user permissions
  6. This admin will be removed from your list of Admins 

Option 2: User Management 

  1. Administration > User Management
  2. Search for individual by email or name
  3. Click on person’s name or email
  4. Click “X” to remove user permissions
  5. Confirm removal of user permissions
  6. This admin will be removed from your list of Admins 

Note

  • Admin permissions can be removed by other entity admins who are at the same level or above.
  • Please note, team admins, competition admins and scoring admins are removed as part of the season rollover process.
  • Admins should check who has access to their entity regularly.
