Size for Age Dispensation (AUS)
- All junior players will be required to enter their height and weight into their registration each year, these fields will be reset at the beginning of every season.
- Rugby Australia's Size for Age Guidelines are checked against a player’s age (10-15), gender, height and weight. Size for Age calculations are only applicable to players registering as XVs, 10s and/or 7s.
- If a player’s height AND weight fall outside the guidelines, a mandatory assessment is required. If a player’s height or weight falls outside the guidelines, a voluntary assessment is offered.
Player Submitting Size for Age Consent Form
- Rugby Xplorer email notification or https://myaccount.rugbyxplorer.com.au/ ‘Consent Forms’
- Click the link for the consent form
- Select the player you are completing the consent form (if multiple players are all linked, all consent forms will appear for selection)
- Read the consent form, select relevant age group, registered club will appear and click checkbox to accept
- Click “Submit”
- The same game format and same club can only be submitted once. Participants can submit multiple dispensations for different game formats at the same club. These requests will be sent to your club admins for review.
Association Admin
When the consent form is received by your competition manager an assessing coach will be assigned to you and will arrange a time for the assessment.
Assessing Coach
The assessing coach will complete an online form as part of the assessment. Once the form has been submitted the association admin will receive a notification email that this has been completed and will apply the dispensation to the players member record as required.

- All member assessments will appear with a status of ‘in progress’ or ‘completed’
- Add dispensations as required against the player’s record in Member Management
Admins can run the Member Assessments & Dispensations Report in the admin portal to see the status of any members in their club/competition.
Note
- Only player who have their height and weight either both above or both under the size for age guidelines will receive a member assessment email. Players who have only one height or weight above or under, will not receive an email (updated January 2025).
- If a player did not receive the Size for Age email, they can still access the Consent Form through their Rugby Portal.
- All size for age assessments (mandatory and voluntary) will appear in the Member Assessment & Consent Forms Reports. Recommend you leave the dispensation type blank to display all dispensations.
- Players (and Rugby Xplorer admins) can update their height and weight via their my profile page or member management and this will recalculate size for age guidelines based on a player’s age, gender, height and/or weight.
- Association admins can delete a member assessment if it is no longer required.
- Club Admins can view the Size for Age Dispensations in the Member Assessments & Consent Forms page but are not required to approve.

The email a player receives when their height and weight below is outside the guidelines is as follows:
Dear [Player Name],
Your registration indicates that you fall outside of both of the height and weight guidelines for your gender and age.
For Height and Weight below parameters, you may:
- Provide parental consent to participate in your actual age grade (to be approved by Competition Manager); or
- Provide parental consent to undertake an ASSESSMENT by an Independent Qualified Assessing Coach to determine if it is appropriate to participate in the single-year age grade below your actual age grade.

Once the consent form is received by your competition manager an assessing coach will be assigned to you (where required) or dispensation record updated to reflect participating age grade.

Email Notification (Height & Weight Above)
The email a player receives when their height and weight above is outside the guidelines is as follows:
Dear [Player Name],
Your registration indicates that you fall outside of both of the height and weight guidelines for your gender and age.
For Height and Weight above parameters, you may:
- Provide parental consent and participate immediately in the next single age grade up; or
- Provide parental consent to participate in the age grade 2 years above your actual age grade; or
- Provide parental consent to undertake an ASSESSMENT by an Independent Qualified Assessing Coach to determine if it is appropriate to participate in your actual age grade.
In all cases, approval from the Competition Manager is required before participation.
