Senior Rugby Dispensation (AUS)

Q: How does the Rugby Australia Senior Rugby Dispensation procedure work in Rugby Xplorer?
  • ‘Senior Rugby Dispensation’ will display for all eligible participants with a member record aged between 16 years old and 18 years old.
  • Players who have turned 18 before they register, will not be required to complete the Consent Form. However, players turning 18 in the calendar year only need to complete the consent form and have it approved by club admins.
  • Players turning 16 or 17 in the calendar year require an assessment with an assessing coach assigned to their record.

Player Submitting Senior Rugby Consent Form   

Senior Rugby Consent Forms can be submitted via an individual’s Rugby Xplorer Portal, when they have registered as a training only participant and/or player in the current season.

  1. Rugby Xplorer Portal  > Consent Forms
  2. Click ‘Senior Rugby Dispensation’
  3. Select the player you are completing the consent form (if multiple players are all linked, all eligible participants will appear for selection)
  4. Read the consent form and click checkbox to accept
  5. Mandatory field = Search for Senior Rugby Club (Club you are wishing to join this season) and select club
  6. Optional field = Select Junior Rugby Club from (Club you have registered to in a previous season)
  7. Click “Submit”
  8. The same game format and same club can only be submitted once. Participants can submit multiple dispensations for different game formats at the same club. These requests will be sent to your club admins for review.

Club Admin

  • The consent form is sent to your Club for review.
    • If approved, it will be sent to your competition manager to assign an assessing coach who will arrange a time for the assessment.
    • If declined, the process stops and player cannot play senior rugby.

Association Admin

  • Association admins will receive an email notification for assessment once club admins have reviewed Senior Rugby Dispensation consent forms.
  • Association admins can track the status of consent forms and if they have been approved by club admins.
  • Once the Association admin assigns the assessing coach to the consent form the coaches receive an email notification with a link to complete the assessment.

Note

  • Association admins can assign the assessing coach for players turning 17 years old.
  • A state admin will need to assign the assessing coach for players turning 16 years old. 

Association admins can view all consent forms (stored against a member’s record).

  1. Association admin > Members > Member Assessments & Consent Forms
  2. All member assessments will appear, ensure Type = Front Row
  3. Consent Status = Approved, Status = In Progress
