Q: How does the Rugby Australia Age Grade Dispensation procedure work in Rugby Xplorer?

The starting Rugby Australia policy position is that a player may play in the age group he/she is turning in the relevant calendar year and in the age group one year above, the Size for Age Guidelines and Age Grade Dispensation Procedure allow players to play in the most suitable competition.

Player Submitting Age Grade Consent Form

Age Grade Consent Forms can be submitted via an individual’s Rugby Xplorer Portal, when they have registered as a training only participant and/or player in the current season.

  1. Rugby Xplorer https://myaccount.rugbyxplorer.com.au/ (available on phone web browser)
  2. Click ‘Consent Form’
  3. Click ‘Age Grade Dispensation’
  4. Select the player you are completing the consent form (if multiple players are all linked, all consent forms will appear for selection)
  5. Read the consent form, select ‘Play up 2 years’ or ‘Play down 1 year’, select game format, select your registered club and click checkbox to accept
  6. Click “Submit”
  7. The same game format and same club can only be submitted once. Participants can submit multiple dispensations for different game formats at the same club. These requests will be sent to your club admins for review.

Note

  • If the player has already turned 18 this year, Age Grade Dispensations cannot be submitted online. 

Club Admin

  • The consent form is sent to your Club for review.
    • If approved, it will be sent to your competition manager to assign an assessing coach who will arrange a time for the assessment.
    • If declined, the process stops and player can only play in their eligible age grades.

Assessing Coach

The assessing coach will complete an online form as part of the assessment. Once the form has been submitted the association admin will receive a notification email that this has been completed and will review the assessment. If approved, the dispensation will be added to the players member record.

  1. Members > Member Assessments & Consent Forms
  2. All member assessments will appear with a status of ‘in progress’ or ‘completed’
    • In progress > association admin needs to assign an assessing coach
    • Completed > assessing coach has submitted their coach assessment form (email notification will be sent to comp manager)
  3. Comp manager to add dispensations, as required, against the player’s record in Member Management.
  4. Admins can run the Member Assessments & Dispensations report in the admin portal to see the status of any members in their club/competition.
