Referee Reports
Q: What reports can I, as a referee club admin and/or appointment board admin, download?
Important: Reports may contain personal or sensitive information and it’s use is governed by the RX Terms of Service and RX Privacy Policy. Please ensure each column of data is required before exporting. Your organisation is responsible for securing any information exported from RX.
Referee Members Reports
- Fixture & Appointment Report: includes all fixtures and appointments for the appointment board and/or referee club.
- Referee clubs and appointment board admins have the option to pre-sort the CSV report before downloading.
- The PDF version of the report can be grouped by competition or by venue.
- Members Appointment Report: includes all members who have been appointed within your appointment board, even if they have also been appointed by another appointment board.
- Include all appointments’ checkbox will show if a referee has been appointed for 2 games with your appointment board and then 10 games with another appointment board. When ticked, this would display the number 12 in the ‘number of referee appointments in the period’ column. Without this being ticked, it would display the number 2 in the ‘number of referee appointments in the period’.
- A referee will count as being coached if the ‘Referee Coach’ field is populated next to their appointment as a ‘Referee’, and the match status is ‘fixture’ or ‘result’.
- Referee Unavailability Report: this report will contain all members’ unavailability. Referees will only appear in the report if their unavailability dates fall within the dates you select (not across).
- To avoid missing people, we recommend you leave the date fields blank (which includes them all) and then apply filter in excel to narrow down your search.
Referee Review Reports
- Referee Review Submitted Report: this report will total the number of submitted Referee Review reports, by stream, for each referee.
- Referee Coach Summary Report: this report will total the number of coaching reports received and number of coaching reports submitted, matching the Coaching Reports dashboard.
Referee Payment Reports

There are three Referee Payment Reports that will assist entities reconcile their payments. Payment entities will only see the invoices they are responsible for, where referee clubs can see all appointments they have appointed referees too.
- Competition Referee Fee Report
This report details all of the individual invoices that have been paid by an entity and the payment that individual referees received for their appointments. When multiple appointment boards have been added against a match, the Competition Referee Fee Report will show the payments the appointment board is responsible for and/or if there is an admin fee applicable.
This report includes details about the appointment and payments:
- Appointment details: payment entity, appointment ID, invoice ID, payment type, payment status and any payment errors.
- Fixture details: competition name and ID, fixture date, time, home team, away team, match status
- Referee's details: ID, name, payment status (receive payment or donate to referee association for that appointment), referee type and fee.
Depending on when you run this report, the Invoice ID may be empty if the cron job has not run yet to create the appointment summary and/or the match is not marked as a ‘result’, i.e. the status will be 'initiated'. The Admin Fee is evenly divided by each of the appointed referees in each match.
Payment statuses available in the report include:
- Initiated: created as soon as an appointment is made for a match and will remain until all referee payment requirements have been met, i.e. referee(s) has updated their account details, referee(s) has accepted appointments for the fixture, match is marked as 'result'. Note, match being marked as 'result' needs to be the final process to change to payment 'approved' or the Referee Appointment Board admin needs to "confirm attendance" to make this the final step in the process.
- Approved : when a match status has changed to ‘result’ and the referee has refereed the match (i.e. a team admin has selected they attended their appointment in Rugby Match Day app).
- Declined: if the appointment was declined by a referee.
- Invoiced: after the the appointments-summary cron job has run (every Wednesday morning) and has created an invoice.
- Failed: when there is a payment processing error. The admin portal will explain the exact error code for this payment failing.
- Paid: after referees have successfully received payment.
- Competition Referee Payment Report: this report details all competitions and the fees entered for the individual referee roles including travel allowances and admin fees.
- Referee Invoice Summary Report: this report includes the invoice ID, subtotal, processing fees and invoice total for the referee payments. This report will assist entities reconcile their referee payments against their entity card.
- Note, this report will only include invoices that your entity are responsible for payment.
Please note, the Transfer Report/Financial Transactions Report will detail 'donate to ref assoc' payments which the referee club has received from referee payments. This report includes date, transfer token, participant ID and name, registration ID, registration date, registration type and duration, charge ID, transaction type (registrations or referee payments), transfer amount & payment method.
