Club Discount Setup

Q: What discounts can I, as a club admins, provide to my registering members?

There are multiple discounts Clubs can choose to offer:

  • General Discount in Payment Settings: for example early bird discounts, based on a dollar or percentage amount, within a specific date range can be added to a specific payment setting.
  • Family Discounts: where multiple players registering in the same registration flow will receive a discounted dollar amount as setup by Club admins, for player season registrations only. 
  • Club Discount Code: where Clubs can provide a full discount (of all fees) or a Club fee only discount. These apply to all registration durations. 

General Discounts

Apply to all club fee registrations within the payment setting for anyone who registers within the date range. Most commonly used for 'early bird' discounts.

  1. Payment Settings > Payment Settings
  2. Click into the relevant payment setting
  3. Click “Discounts” tab
  4. Select Discount Type ($ or %)
  5. Enter Discount Name, Date Range and Amount
  6. Click “+” and Save

Family Discounts 

Often offered for multiple siblings linked under the same primary account and registering at the same time. Family discounts are applied to Players registering for a Season duration at the same Club. The transactions must be straight after each other and completed in the registration loop.

  1. Payment Settings > Discounts > Family Discounts
  2. Enter the number of ‘registrations from’ and ‘registration to’ and the dollar amount you want to discount.
    • For example, setting the 'registration from' #2 and 'registration to' #2 with a dollar amount of $10, the 2nd family member to register within the same flow, will receive a $10 discount.
  3. Click “+”
  4. When all family discounts are added click “save”

Some Clubs may choose to offer Family discounts, where families have multiple players registering to the same club. Please contact your club for more information on whether or not this is available at your club. 


Family discounts are applied across different registration types to season players at the same club, registering in the same registration loop. The registrations must be completed in a single registration loop (A loop is when the you click yes at the end of a registration to register the next player and complete this right away). All family members need to be linked PRIOR to starting the registration process.


The family discount only works for LINKED accounts registering to the SAME club, as a SEASON PLAYER, for the same or different registration types in the SAME registration loop.

  1. Begin by registering and paying for the first Player.
  2. On the confirmation screen, click "Finish"
  3. Pop-up appears, "Would you like to add another registration?"
  4. Click "Yes"
    • Note, by selecting no, you will no longer be eligible for a family discount (if offered by your club).
  5. You will be redirect back to choose who you would like to register next.
  6. Continue to select "Finish" > "Yes", until all family members have been registered.

Club Discount Codes

There are two different club discount codes available.

  1. Club card: provides an unique code that discounts the total registration cost. The club's entity card is charged the full amount for the total of the registration.
    • Clubs must setup their entity card before issuing 'club card' discount codes. 
    • Entity Card setup is available here.
  2. Club discount: provides an unique code that discounts the club's fees only by a specific amount. The participant must pay any additional registration fees from entities other than the club and any additional club fee remaining. 

To set up Club Discount codes:

  1. Payment Setting > Discounts >  Club Discounts
  2. Select ‘Discount’ or 'Card' from the drop down
  3. Enter ‘Amount’ (not required if 'card' is selected)
  4. Enter ‘Email’ (of the participant you want to send the unique discount code too)
  5. Click “Add Discount”
  6. A pop-up will appear, click "Accept"
  7. An email will be sent to the participant with their unique code. This can be resent or deleted from the admin portal.

Note

  • Discount codes are unique and can only be used once by the person they are sent to. If the full balance is not used, the remainder is forfeited. 
  • Discount codes are valid for 30 days before they expire. 
  • Discount codes cannot be used at an entity, that did not issue the discount code. 
  • Multiple discount codes can be added from different entity levels. 
  • Rugby Event discount codes cannot be used for club registrations. Similarly, club discount codes cannot be used for rugby events. 
  • If a participants tries to use a discount code issued by one entity at another entity the following error will appear: "Request Failed - Discount code does not belong to these entities."
  • To offer a club card discount, the club needs to add an ‘Entity Card’ into Rugby Xplorer so the Club’s credit card can be charged for the registration fees.
