Referee Send Off Report

Q: How can I, as a referee, submit a send off report? Who receives send-off notifications for reports?


Referees appointed to matches through Rugby Xplorer (either appointed by the referee club and/or added as an 'assistant referee' by the team admin in the Rugby Match Day app) can submit a send-off report in two ways.

  1. Rugby Xplorer Portal
    • Referee > Appointments
    • Click "Send-off Report" button
    • Form will open
      • Dropdowns of players selected on the team lists will display. The player(s) who received a red card will show Name (red card).
      • Free text fields for the additional questions with example responses displayed.
    • Click "Submit"
  2. Email Notification
    • If a red card was added in a match that the referee was appointed to, the referee will receive an email to complete the send-off report.
    • Click link in email to open the Send-Off Report and follow the steps above.
    • Note, this is how referees appointed by team admin can submit their send-off report.

Notifications

  • The competition manager and referee club admins will receive an email notification when a send-off report has been submitted by the referee and/or assistant referees. 
  • Referee club admins have the ability to edit the send-off report and submit the send-off report so that the competition manager can view the “reviewed” send-off reports.

Competition Managers

  • Competition managers will see the report as soon as its created. They will know if it has been reviewed by the referee club admin based on the status of the report. Ensure you confirm the process for send-off report transmission to competition managers (some may still want you to email the pdf).
  • Competition managers can click through to the corresponding competition case from the send-off report when the referee has selected the player from the team list dropdown. 

Referee Club Admin

  • Referee club admins should proof-read send-off reports and fix errors before changing the status to ‘reviewed’ (e.g. poorly spelled or worded, or wrong law selected, etc.).
  • Referees cannot edit the player name, etc fields at the top of the report. The referee will need to resubmit the report or use a pdf editor to change the name of the player.

Please note, scale of seriousness field will not appear on the pdf version of the report as it is not part of the Rugby AU Disciplinary Rules send-off report.

  1. Club admin > Competition Management > Send-off Reports
  2. Search for report by player name or team name.
  3. Click on the report to open
  4. Click ‘edit’ if anything needs fixing
  5. Click ‘Mark as Reviewed’ to change status from pending to reviewed.
  6. Click ‘Download PDF’ to be emailed a link to download the report as a pdf
  7. Click ‘Delete’ to delete the report (e.g. it’s a duplicate or the referee needs to re-do from scratch)
