Appointment Board Assigning Appointments
Q: How can I, as an appointment board admin, see fixtures to appoint too? How can I appoint referees to fixtures?
Fixture Display
- Competition Managers need to assign the appointment board to their competition and/or matches.
- Referees > Appointments
- The default date range of appointment board page is the current week (7 days).
- If you need future matches, you can extend the date range.
- The page can be filtered by notified/unnotified referees, their appointment status.
- You can search for specific words, e.g. competition name and/or team name.
- We recommend using Google Chrome for appointment board admins to get the best user experience.
Referee Requirements
Referees must hold the minimum standards required by their national to appear for appointment selection.
- For example, in Australia, referees must have a current Smart Rugby accreditation to appear for appointment.
Appointing Referees
- Appointment Board Admin > Referees > Appointments
- Search for fixtures by date (it defaults to the next 7 days)
- Click into fixture
- Fixture details will appear at the top of the screen, including any 'match notes' the competition manager has added in.
- Appointment Options
- Available members will appear in alphabetical order by surname.
- Select “sort available referees by grading” to display them alpha-numerically based on grading. The ‘sort by’ selection is remembered for further appointments.
- Select “Include all referees” to display referees who are unavailable or have already been appointed that day. PLEASE USE WITH CAUTION.
- Any referees with related teams will appear
- Referee Appointments
- Appointment board admins can appoint referees for all roles that are in bold and have a pencil next to them. Any roles that are greyed out have been assigned to a different appointment board.
- Click the orange pencil to appoint a referee and "Confirm Change".
- Click the rubbish bin to remove a referee from an appointment and "Confirm Change".
- Ensure all applicable referee roles have been appointed too.
- Add any additional Comments, that will be sent to the appointed referees.
- Click the green tick to accept an appointment on behalf of the referee.
- Click the red cross to decline an appointment on behalf of the referee.
- Click ‘Send notification to referees’ to automatically notify them (otherwise you can do this later via the Appointments page)
- Click “Apply Changes”
- Once appointed, you can send notifications in bulk.
Note
- Ensure your Referee Club admin has added all registered referees into the appointment board.
- Australian individuals who have only registered as 'Referee Ready', are unable to be added into the appointment board and cannot be assigned appointments.
- TMO is often used to record ‘Coach the Coach’ appointments.
- You can change the zoom on your browser to display more columns and change the number of fixtures displayed at the bottom left. Default is 200 fixtures on one page.
- All columns are sortable and the time displays as per your computer's timezone.
- Notification status filter has been added and will show fixtures where ALL the appointments meet the filter chosen.
- Use the “Search” field to display fixtures meeting the criteria (e.g. club or venue).
- If the payment entity does not have an entity card setup in Rugby Xplorer these fixtures will appear in red.
- Confirm Attendance overrides the referee's accepting their appointments and changes these appointments to 'approved' for Referee Payment Invoices.
Travel Distance Limit & Related Teams
- Referees who have their travel distance limit set and the venue of the fixture does not meet the travel distance requirements will not appear for appointment, unless 'Include all Referees' is ticked.
- A referee is not available for appointments to their related team(s) unless you tick the 'appoint all referees' button. Their related team will then appear in the grading list. 'Referees with related teams possible at venue' will display the referees whose related teams are playing at the same venue so you can appoint around them.
Are you using a Mac? Ensure that any extensions are set to 'ask' so that the appointments pop-ups appear correctly. This is found on your browser Safari > Settings > Extensions.
