USA Rugby Event Admin Payment Types

Q: How can I, as a USA rugby event entity admin, allow specific USA payment types for my rugby event?

Rugby Event Competition Setup

USA Rugby event entities can choose to "allow USA Team Choice" in their Rugby Event Competition setup. 

1. Rugby Event Comps > Rugby Event Tab 
2. Tick "Allow USA Team Choice"
   • Please note, by selecting 'Allow USA Team Choice' you will be unable to change this after the competition has been created/edited. If you wish to turn it off, you must delete the rugby event and start again (before any teams have registered).

Allow USA Payment Types

• By ticking ‘Allow USA Team Choice’, this will enable the admin registering the team, the option to choose either Team Pays or Player Pays.
• When USA Team Pays is selected, the team will be required to pay an event fee upfront. Existing clubs, that participate in the regular club season, will be able to move registered players into the squad, without them registering into the event. Teams connected to the rugby event default club, i.e. do not participate in the regular club season, will require all their players to register into the event via the Rugby Xplorer Portal.
• When USA Player Pays is selected, all individuals, regardless of the club their team is connected with, must register into the team and pay both the national (conversion discounts will be applied) and the event fee.
• When Team Choice is selected, the admin registering the team has the option to choose either USA Team Pays or USA Player Pays.

Rugby Event Payment Settings

A Rugby Event Payment Setting will need to be created for every event competition that you are running. When your event competition has "Allow USA Team Choice" ticked, when you "Add Payment Setting" it will default to Pay Type = Team Choice, after you select your competition from the dropdown. 

1. Rugby Events > Rugby Event Payment Settings
2. Click “Add Payment Setting”
3. Select ‘Registration Type’ and ‘Competition’
   • Note, if you cannot see the Registration Type you are expecting, please check with your parent organisation. They have the ability to only show certain rugby event payment settings to specific entities. 
4. 'Pay Type' will default to Team Choice
5. Enter Team Pays Price & Player Pays Price 
   • This is the amount that your event entity will receive from the team or player, depending on the option selected by the team admin at the point of registration.
6. Choose Open/ Close Registrations
7. Add ‘Variables’ for players and non-playing members
   • Select a Role = Player, Manager, Volunteer, Match Official and/ or Coach
   • Select Age Level
   • Enter Fee (this will be greyed out for players)
   • Click “+”
8. Once all variables have been added click “Save”
9. 2 Rugby Event Payment Settings will appear, Team Pays (Team Choice) and Player Pays (Team Choice). These cannot be deleted but can be edited. 

Pay Type

• USA Team Pays requires the team to pay an event fee upfront. Existing clubs, that participate in the regular club season, will be able to move registered players into the squad, without them registering into the event. Teams connected to the rugby event default club, i.e. do not participate in the regular club season, will require all their players to register into the event via the Rugby Xplorer Portal.
• USA Player Pays requires all individuals, regardless of the club their team is connected with, must register into the team and pay both the national (conversion discounts will be applied) and the event fee.
• Team Choice enables the admin registering the team, the option to choose either Team Pays or Player Pays. Then the following Team Pays and Player Pays scenarios will come into effect.
  • When USA Team Pays is selected, the team will be required to pay an event fee upfront. Existing clubs, that participate in the regular club season, will be able to move registered players into the squad, without them registering into the event. Teams connected to the rugby event default club, i.e. do not participate in the regular club season, will require all their players to register into the event via the Rugby Xplorer Portal.
  • When USA Player Pays is selected, all individuals, regardless of the club their team is connected with, must register into the team and pay both the national (conversion discounts will be applied) and the event fee.”
