Rugby Event Team Registration

Q: How can I register a Team into a Rugby Event?
  • Teams need to be registered into a Rugby Event so your event organiser can add your team into the competition.
  • Event organisers will setup either ‘team pays’ or ‘player pays’. If ‘team pays’ is selected, the team must be registered and paid to finalise the registration.
  • Event organisers can send a team registration link, to assist individuals to select the correct event.
  • All users will be required to select a club, or not part of any club, to connect their team with. If ‘not part of a club’ is selected it will be sent to the event's default registration club, or if not setup, your national admin for review before you can finalise the team registration. We recommend that club admins register their teams and connect their teams with their clubs.

Once a team has registered the user will automatically receive ‘team admin’ user permissions, so they can manage their squad and team in the Rugby Match Day app once the event organiser has published the competition.

  1. My Account > Register > Rugby Events > Register a Team
  2. Enter Rugby Event name and “search”
    • Note, if the Rugby Event Team registation date is in the past, the event will not appear for registrations. 
  3. Click Rugby Event name and “next”
  4. Enter Team Name
  5. Select club from your national’s drop down list or select ‘not part of a club’. All teams must be connected to a club to proceed through registration. Please note, the table above. This is a mandatory field and you cannot proceed without linking your team to a club.
    1. If you are a club admin and connect your team with your club you can proceed with registration.
    2. If you are a club admin and connect your team with ‘not part of a club’, the request will be sent to your event's default registration club, or if not setup, your national admin for review before you can proceed with registration.
    3. If you are not a club admin and connect your team with another club, the request will be sent to the club admins for review before you can proceed with registration.
    4. If you are not a club admin and select ‘not part of a club’, the request will be sent to your event's default registration club, or if not setup, your national admin for review before you can proceed with registration.
  6. Contact Name, Mobile and Email will prepopulate for the primary account logged in.
  7. Click “next”
    • Pop-up will appear if you select ‘not part of a club’ or you are not a club admin. The team request will be sent to the relevant entities and you will be unable to proceed until the request has been reviewed.
    • If you event organiser has turned on 'expression of interest', you will be unable to finalise your team registration until the event organiser has approved your team. 
    • If your team request has been approved, you will receive an email confirmation and can click the link to continue with your team registration.
  8. Registration summary will appear.
    • Select Payment Option (Full or Split, if setup by your event organiser)
    • Registration Fees will be expanded to show the breakdown of registration 
    • Any early bird discounts will appear here
    • Transaction fee will appear
  9. Agree to National Terms and Conditions
  10. Click “Pay”
  11. Select payment option (if applicable)
    • Enter credit/ debit card details or continue with Buy Now, Pay Later option in your national.
    • Click “Pay"
  12. Confirmation screen will appear, and a confirmation email will be sent to the team manager, also granting them team admin user permissions automatically.

Split Payments

Rugby Event Organisers may allow two payments for team registrations, i.e. one deposit payment and a second final payment.

  • The deposit includes up the line fees and the deposit amount chosen by the rugby event organiser. 
  • The second final payment will be the remainder of the event competition fee.  

The day that the second payment is due, a reminder email will be sent to the team manager. You can click on the link in this email or click "Pay" under Team Registrations Split Payments on 'My Profile' page of Rugby Xplorer portal (https://myaccount.rugby.com.au/) to complete the final payment. 


Once the final payment has been processed, a successful payment confirmation email will be sent and players and team officials can begin registering. 

  • If a player/team official tries to register before the team has been 100% paid for, the following error will appear 'Requestfailed-You cannot register to this team because it has outstanding payments."

Competition is full error message

If managers are trying to register a team into a Rugby Event and receive the error 'Request failed - Competition is full', this means that the maximum number of teams have been registered for that event. No further Teams can be entered. Please contact your event organiser for more information.


If you are trying to register as a player to a team and receive this error, you have selected the wrong registration option at the beginning (register a team), you need to select Find A Team and register as a player to your team. Find the steps here.


Team Names

Team names need to be unique within individual competitions. For example, if “Team A” is already registered into the competition another “Team A” cannot register into the same competition and will receive the following error: “Team name already exists in the Competition”.

Team names can be the same within different competitions.
