Comprehensive Draw Builder

Q: How can I, as a competition manager, use Rugby Xplorer to create a draw that includes game durations, venue allocations (spill and/or hub venues) and match timings?

Creating a Comprehensive Draw Builder

  1. Competition Management > Draw Builder > Comprehensive Draw Builder
  2. Select your Competition
  3. Enter Game Duration (mins)
    • This will default to the national settings setup for the game type and age level. 
  4. Enter Time between Matches (mins)
    • This will ensure the system picks up how much time needs to be allocated between matches to stop one match and start another on the same field venue. 
  5. Field Dimensions
    • Will depend on the game format and age level of the competition (full field, 1/2 field, 1/4 field). 
  6. Preferred Venues
    • Home + Away: where teams will play at their home venue and then at an away venue. Teams will need to have their home venue added into their team setup. More information on Creating & Editing Teams is available here
    • Hub: where all teams from the competition play at the same venue. 
  7. Match Times
    • Will default to the competition's start time and can be edited. 
  8. Click "Next"
  9. Enter individual Round dates and start times (default will be competition's start time)
  10. Click "Next"
  11. Draw will pre-populate on the right hand side with populated date, time, venue, fields and matches
  12. Click "Save Draw"
  13. Visual scheduler will appear
  14. Once happy with the draw, click "Publish" 
  15. Confirm and click "Accept"

Note

  • The system now gathers parameters at the competition level to manage field distribution effectively.
    • Timing: game duration, buffer time between matches and competition start times.
    • Field Availability: dynamic assigned based on the number of available fields. 
    • Spill Logic: if a home venue is unavailable, the system automatically assigns the match to a designated Spill Venue. 
      • In cases where no spill venues are available, the scheduler applies a 'time-shift' logic, calculating the next avalable time slot at the home venue to avoid double booking. 
  • Venue Configuration Logic
    • Ensure you have added Spill Venues and/or Hub Venues into your competition prior to creating your draw. 
      • Spill Venues: handle overflow when home venues reach capacity. 
      • Hub Venues: where all teams from the competition play at the same venue.

Configuration Type User Action Required System Impact
Spill Venues Select specific fields within a venue to act as "overflow." Acts as the mandatory safety net. If a team doesn't have a home venue, the scheduler must find an available field here to proceed.
Hub Venues Select the specific fields to be used for centralized "Hub" rounds. Acts as the exclusive source. If "Hub" is selected as the preferred venue, the scheduler ignores team/spill venues and only looks at these fields.

  • Scheduling & Date Rules:
    • The system doesn't just 'drop' games into slots, it runs a set of validation checks to ensure the draw is playable:
      • Round-Based Timing: calculates matches based on the specific date and time you've set for each round.
      • Conflict Checking: cross-references the Blockout Dates for every venue before assigning a field. 
      • Venue Balancing: to prevent wear and tear (or unfair home-field advantages), the system intelligently shuffles matches so the same Spill Venue isn't overused.
      • Pool Support: the scheduler is capable of handling multi-pool competitions simultaneously. 
  • Reviewing & Saving Results:
    • Before you publish the draw, the results page gives you a few specific indicators:
      • The 'Spill' Indicator: if you see an asterisk (*) next to a venue, that match was assigned to a Spill Venue.
        • Note, Hub Venue are handled as a spill when Hub is selected as preferred venue. 
      • The Re-Shuddle: you can refresh the matches and the system will re-shuffle the team seeds and venue assignments for a new result. 
      • Finalising: clicking "Save Draw" is where data is committed and you are moved to the visual scheduler for manual tweaks.
