Draw Import

Q: How do I, as competition manager, upload/import a draw? Can I bulk upload my competition draw?

  • Competition Managers can bulk upload their draw via the template provided in the Draw Builder > Draw Import page. 
  • We recommend downloading a new template for each competition you want to upload. Ensure the dates are correct in the upload. Remember to publish your competition draw when you are finished.

Draw Import

  1. Competition Management > Draw Builder
  2. Click “Draw Import”
  3. Select Competition
  4. Click “Download Template”
  5. Complete excel template by entering Round Number, Round Type, Round Name, Match Name, Home Team, Away Team, Venue ID, Date, Time, Bye and/ or TBA
    • Round Name and Match Name are optional fields and can be left blank. 
    • Ensure the Team Names are copied exactly from the Teams list. There is a copy button that will be of assistance.
    • Select the Venue IDs from the list already populated of team's home venue and/or team's home club venue they have added into their My Club page, or search for new venues and copy their Venue IDs. 
    • Venue can be left blank is not known.
    • Ensure the time format is valid – hh:mm AM/PM, e.g. 01:10 PM and the cell is classified as a 'text' cell. 
  6. If you have any ‘Byes’ put in the home team, leave the away team as blank. However, you will need to add ‘Yes’ into the BYE column and we also recommend the time as 12:00 AM.
  7. If you have any ‘TBA’ matches (usually for finals fixtures) leave both home team and away team blank. You will need to add ‘Yes’ into the TBA column.
  8. Once excel template is saved click “upload”
  9. Imported Draw Data will appear as will be shown in the Matches page and on Rugby Xplorer app/websites.
    • You may receive an error with one particular cell that you will need to update.
    • Note, matches cannot be created at the same venue at the same time due to venue blockouts, including where you are trying to allocate a full field match and 1/2 or 1/4 of the match has already been allocated to another fixture.

  10. Click “Save”
  11. Visual scheduler will appear where you can move any matches as required.
  12. Once happy click “Publish”

Note

  • Once published, the draw, including any round and/or match names, will be visible in the Rugby Xplorer app/websites plus the Rugby Match Day app. If your Member Union/Council/Provincial Union publishes your fixtures and results on their site, the competition will also be visible.
  • Once the draw has been uploaded, saved and published, you can view the fixtures under the 'Matches' tab in the admin portal: Competition Management > Matches. 

Updating Matches

  • If you need to update or changed any of the matches, this can be done by clicking into the individual match and editing the details via Competition Management > Matches > Select the Competition > Click into a match. 
  • Alternatively, changes can be done in bulk via the Redo draw template (available via Competition Management > Matches > Select a Competition > Click "Re-do Draw").
