Email Communications
Q:
- How can I, as an entity admin, communicate with my members through email?
- Can I, as a member, opt out of receiving emails from Rugby Xplorer?
- Why are some of my member's not receiving emails?
Admins can send emails to their members through the admin portal to anyone who has registered via Rugby Xplorer to their entity.
- You can segment the audience by applying filters.
- The calcualted Target Group will be all members within the filters and those that have unique valid email addresses.
Email Communications
- Administration > Communications
- Select ‘Registration Status’
- All – Anyone who has registered in the selected season
- Active – Anyone who has an active registration in the current season
- Inactive – Anyone who has an inactive registration in current or previous seasons
- Select ‘Season’ (as applicable)
- Select ‘Member Type’
- Select 'Admin Type'
- If no admins are selected, admins will not be included.
- Enter ‘Age Range’ and ‘Team Squad’ as required
- Optional 'Include Parent/Guardian(s)' tickbox
- Click “Calculate Target Group”
- Target Group Count will show the number of emails to be sent.
- Enter ‘Email Subject’
- Enter ‘Email Body’ (free text field, can add URLs) and email will be populated on the right-hand side.
- Click “Send Email”
Opt In/Opt Out
Individuals have the ability to unsubscribe and/or manage their email preference.
Opt Out
- For individuals to “opt out”, they can click “unsubscribe” in the Rugby Xplorer email they received and they will no longer receive Rugby Xplorer communications.
Opt In
- To “opt in”, click “manage email preferences” from the last Rugby Xplorer communications you received and change your opt out status.
Reasons why members may not be receiving emails
Please ensure all member's email addresses are valid and correct in their Rugby Xplorer profile.
- Your member has opted out of Rugby Xplorer Communications.

- Email Formatting Errors
- Even a single invalid email address in your batch can cause our email sender to reject the entire request.
- This may include invalid domains (e.g. icoud instead of icloud) or incorrect emails (e.g. c@c.com).
- Suppressed or Blocked Emails
- Our email sender maintains a suppression list that includes bounced emails, unsubscribed users, spam complaints, invalid and/or previously undeliverable addresses.
